When people talk about the transformation of Muncie Community Schools, they often focus on the visible milestones: the partnership with Ball State University, new academic opportunities, stronger community engagement, and a long-term vision for success.
Just as important is the work behind the scenes.
Every successful school district depends on a business office that delivers accurate information, disciplined processes, and the confidence leaders need to make sound decisions.
At Muncie Community Schools, strengthening that foundation became an important part of the district's broader transformation.
The partnership created an opportunity to strengthen more than academics. It challenged district leadership to build the operational foundation needed to support long-term success.
Reliable financial information became essential. Leaders, board members, and community stakeholders all needed confidence that the numbers guiding important decisions were accurate, timely, and easy to understand.
Muncie already had capable financial software in place. The opportunity wasn't replacing technology; it was establishing consistent processes that allowed the district to realize its full value.
In 2018, the district welcomed a new CFO/Treasurer with nearly two decades of experience using Boyce solutions. Under that leadership, the business office clarified responsibilities, strengthened internal controls, standardized financial procedures, and established a culture of accountability.
Routine reconciliations and disciplined month-end and year-end processes became standard practice. Financial reports became tools for managing the business rather than simply documenting it.
The team also invested in cross-training across accounting, payroll, accounts payable, grants, and financial reporting, creating a more resilient business office with greater continuity and flexibility.
These improvements didn't happen overnight. Together, however, they established a stronger financial foundation and demonstrated what committed people, clear expectations, and consistent processes can accomplish.
As its operational practices matured, Muncie transitioned to Boyce Cloud for district- and school-level operations.
Moving accounting, payroll, and human resources onto a single, integrated platform reduced duplicate entry, manual spreadsheets, and workarounds associated with disconnected systems.
Integration improved consistency, reduced opportunities for error, and gave staff greater confidence in their information. Moving to the cloud also reduced time spent managing software updates, servers, infrastructure, and secure remote access.
The result was more time for financial stewardship, payroll, reporting, and supporting district operations.
Technology didn't replace strong financial management. It gave the team more time to do what they do best.
For other districts, Muncie's experience reinforces the importance of choosing technology and partners that simplify operations rather than adding complexity.
Strong financial management isn't measured by the number of reports a district produces. It's measured by how effectively leaders use information to make decisions.
As Muncie's operations matured, consistent reporting and reliable reconciliations helped turn complex financial data into practical insights.
Instead of spending time validating numbers, district leaders could focus on planning, priorities, and the future.
Boards don't need more reports. They need information they can trust.
Since 2018, Muncie Community Schools has stabilized enrollment and expanded academic opportunities, including a more than 350 percent increase in Pre-K enrollment. Working with Ball State and community partners, the district has secured over $15 million in philanthropic investments and competitive grants.
Academic progress has been equally encouraging:
86% of third graders passed IREAD-3 in 2026, up from 65% in 2022. For the first time during the Ball State partnership, every MCS elementary school exceeded an 80% passing rate.
94.5% graduation rate is expected at Muncie Central High School once certified, up from 81% in 2023.
4,791 college credits earned by students during the 2025–26 school year, saving families more than $814,000 in tuition.
These accomplishments reflect the dedication of educators, district leadership, community partners, and countless others committed to serving students.
Behind that progress is a business office providing dependable financial information and disciplined operational practices, helping district leaders plan confidently and make informed decisions.
While every district's journey is different, Muncie's experience offers four important lessons for Indiana K-12 leaders.
Process drives performance. Even the best software delivers its greatest value when paired with disciplined procedures, consistent reconciliations, and clearly defined responsibilities.
Invest in your people. Cross-training, professional development, and shared ownership build stronger teams and reduce dependence on individual employees.
Integrated systems create efficiency. Connecting accounting, payroll, and HR reduces duplicate work and allows staff to spend more time supporting employees, school leaders, and students.
Trusted numbers build trusted leadership. Accurate, understandable financial information allows boards and administrators to focus on decisions rather than questioning the data behind them.
At Boyce, our role extends beyond providing software. We partner with Indiana school districts to simplify complex operations, connect critical financial and employee information, and give business offices confidence in the numbers they rely on every day.
That means understanding Indiana K-12 finance, staying engaged after go-live, and helping districts make the most of their technology.
We're proud to have partnered with Muncie Community Schools throughout its journey. Its progress reflects committed district leadership, a dedicated business office, and a shared focus on continuous improvement.
Muncie's story reminds us that meaningful progress rarely comes from a single initiative. It's built through committed people, disciplined processes, trusted partnerships, and connected systems.
When those pieces come together, financial operations become more than an administrative function. They become a foundation for everything a district hopes to achieve.
